Privacy Policy

CoachClone is operated by Iconic AI LLC (“CoachClone,” “we,” “us”). This policy explains what we collect, how we use it, and the choices you have. It covers coaches who build an AI clone on our platform, subscribers who chat with a coach's clone, and our use of Google and YouTube data.

Information we collect

• Account data — your name, email, and password (stored hashed) when you create an account.
• Training content you provide — documents, PDFs, audio/video, transcripts, and links you upload or connect so we can build your AI clone.
• Conversations — messages between subscribers and a clone, and the memory a clone keeps for each subscriber, to provide the service.
• Payment data — processed by Stripe. We do not store full card numbers; we receive only limited billing details and subscription status.
• Usage data — basic logs and analytics needed to run, secure, and improve the service.

Google and YouTube API data

When a coach chooses to connect their YouTube account, CoachClone uses YouTube API Services to import the captions/transcripts of that coach's own videos so the coach's AI clone can be trained on their teaching. Connecting is optional and initiated by the coach.

• What we access. With your authorization we read the list of your videos and download the caption tracks of videos you own (including unlisted and private videos you own). We request the youtube.force-ssl scope because Google's API requires it to download caption tracks; in practice we only read caption data and never post, edit, or delete anything on your YouTube account.
• How we use it. Caption text is converted to training material for your clone and stored with your other training content. We do not use it for advertising and do not sell it.
• Sharing. We do not share Google user data with third parties except the sub-processors listed below that are strictly necessary to operate the service.
• Retention & deletion. We keep imported caption content only as long as your account uses it for training. You can delete individual sources, disconnect YouTube, or delete your account at any time, which removes the associated data.
• Revoking access. You can revoke CoachClone's access to your Google account at any time via Google Account → Third-party access.

CoachClone's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Use of YouTube features is also subject to the YouTube Terms of Service and the Google Privacy Policy.

How we use your information

• To build, train, and run your AI clone and its per-subscriber memory.
• To process subscriptions and payouts through Stripe.
• To send service email (login, receipts, check-ins, product updates).
• To secure the platform, prevent abuse, and comply with law.

AI processing

We use third-party AI providers (including OpenAI) to generate clone responses and process your training content. Content is sent to these providers solely to deliver the service and is not used by us to train foundation models.

Sub-processors

We rely on a small set of vendors to run CoachClone:

• Supabase — database, authentication, and file storage.
• Vercel — application hosting.
• Stripe — payments and payouts.
• OpenAI (and comparable AI providers) — generating and processing clone content.
• Resend — transactional email.
• Google / YouTube — when you connect YouTube, for caption import as described above.

Your choices and rights

• Access, correct, export, or delete your data by emailing support@coachclone.com.
• Opt out of lifecycle, accountability, and activity-summary emails using the unsubscribe link included in every such message. Billing, password, and security emails remain transactional.
• Delete individual training sources or your entire account from your dashboard.
• Disconnect YouTube or revoke Google access at any time (links above).
• Cancel your subscription at any time from your account.

Data security

We use industry-standard measures — encryption in transit, hashed passwords, access controls, and reputable infrastructure providers — to protect your data. No method of transmission or storage is perfectly secure, but we work to protect your information and to notify you of material incidents as required by law.

Children

CoachClone is not intended for anyone under 18, and we do not knowingly collect data from children.

Changes

We may update this policy; we'll change the date above and, for material changes, notify you. Continued use after an update means you accept the revised policy.
